PQ Inbox Relay: trial privacy and deletion notice Podiatry Quest is preparing a limited trial of a private, staff-operated connection between its Instagram business inbox and a restricted Telegram bot. The trial uses fictional messages from an authorised tester. It is not an automated clinical service and does not use message content for AI inference.

Information and route. Instagram message events pass from Meta through Cloudflare to a Podiatry Quest-controlled computer. Events may include message text, account-scoped identifiers, timestamps and attachment references. During a trial window, events from people other than the tester may also reach this receiving infrastructure. The trial is designed to discard non-test message content without forwarding it to Telegram or retaining it in the application's message storage. This filtering does not undo processing already performed by Meta or Cloudflare.

Limited use. Only the authorised fictional test exchange is intended to pass through the Telegram bot. A human operator authorises the exact reply. The trial does not import inbox history, download attachments, send marketing messages or make clinical decisions. It is not a service for emergency or time-sensitive care.

Retention and cleanup. The trial is designed not to save raw webhook payloads in application logs. Limited test-sender identifiers, routing identifiers and delivery states are used temporarily to bind the exchange and prevent duplicate sends. After the operator verifies the exchange and delivery has been disabled, the operator requests deletion of the two tracked Telegram test messages and checks the result. Local test-routing identifiers are then cleared. If deletion or shutdown cannot be verified, the operator treats cleanup as incomplete and resolves the remaining items rather than reporting success. Minimal content-free diagnostic results may be kept to document the test; these exclude message bodies, account-scoped sender IDs and message IDs.

Deleting these trial copies does not erase the original Instagram conversation, screenshots, device copies, provider logs or backups. Meta, Cloudflare and Telegram apply their own processing and retention arrangements. This notice does not promise zero provider retention, secure erasure of all copies, or processing only in Singapore.

Podiatry Quest will assess requests with proportionate identity checks and applicable legal and clinical-record obligations. Requests relating to copies controlled independently by a platform may also need to be addressed to that platform. This notice supplements, and does not waive, applicable data-protection rights.
